One list per trade, filed under the job. Photograph the snag, draw an arrow or a ring on the picture, say where it is. The mark-up sits over the photograph rather than in it, so the original stays as you took it.
It is an ordinary PDF. Your sub reads the whole list whether or not he has installed anything. Nothing is hosted and nothing is sent on your behalf.
He photographs each fix and sends the same file back. Your copy takes in what he added and keeps what it had, so two subs on one list cannot wipe each other out. His word does not close an item. Yours does.
Each item runs open, then fixed and waiting on your check, then verified. Send one back with a reason and it reopens on his phone with the reason on it. The finished file reads in order: raised, fixed, sent back, fixed again, verified, with who did what and when.
Site condition. An area not ready. Access blocked, damage, a delay. What you found, where, when and who found it, with photographs. Nothing can be added to a report by anybody, and the email that carries it is dated by the mail servers rather than by either of you.
An area was not ready when you were due on it. Access was blocked for a fortnight. You are being asked to make good damage that was already there when you arrived. Every one of those arguments comes down to the same question: what was recorded at the time, and by whom. An extension of time, loss and expense, or simply not paying for somebody else's damage all rest on that, and reconstructing it three months later out of memory and a phone gallery is the weak position to argue from.
A report is made on the spot. What you found, where, when, who found it, with photographs, and nothing can be added to it afterwards by anybody. Send it by email and the date on it is set by the mail servers rather than by you or by them, and both of you hold a copy. That is the ordinary way contemporaneous correspondence carries weight, and it needs nothing from us.
Your jobs, lists and photographs sit on your handset. That is why it works with no signal, and it is why a lost phone loses what was on it. Send finished files to yourself, or keep them in the job file, the same as any other document that matters.
Your sub reads the PDF without installing anything. To send fixes back on the same file he needs the app, and it is free for him too. Android for now.
