§ WHO IT IS FOR

If nobody asks you for a method statement, you are in the right place.

The test is simple. Do you repeat the same tasks, in a place you control, without a main contractor asking for a pack before you set foot on site? Then a task library serves you far better than a document per job.

Built in Jersey, by someone who has stood in these places. It cites Jersey law for Jersey firms and UK law for UK firms, and you pick which when you set up.

MARINE

One honest caveat. If your clients ask you for a RAMS, and commercial cleaning and landscaping firms often are asked, you want the construction version instead. It is the same system with the pack builder switched on. See those plans.

01 — YOUR TASKS

Your jobs become a library

Every task you actually do gets a risk assessment, a safe working practice and its COSHH assessments. You describe the job in your own words, Keystone drafts the documents around the products and machinery you really use, and you approve every word before anyone sees it.

02 — SIGNED ONCE

The crew sign the task, not the job

Send a task to the people who do it. They read it and sign on their own phone. That signature is pinned to the exact version they read, so if you revise the assessment their sign-off goes stale and they are asked again. Nobody is ever signed onto a document that has since changed.

03 — EVIDENCE BACK

Proof arrives on its own

Point-of-work checks, permits, vibration exposure, accidents, toolbox talks and inspections all come off the floor as records, filed under the job, with a PDF for each one. You stop chasing paperwork and start reading a register.

§ QUESTIONS

Before you book.

We are not in construction. Is this really built for us?
Yes. Construction plans are shaped around producing a pack for each new project, because that is what a main contractor asks for at induction. If you work in a place you control, doing tasks you repeat, that shape is wrong for you and you end up writing documents nobody asked for. Here the library is the product.
What if one of our clients does ask for a RAMS?
Then you want the construction version, and you can move onto it whenever you like. It is the same system with the pack builder switched on, so nothing you have built is wasted. We would rather tell you that now than take your money for the wrong thing.
Who writes the risk assessments?
Your words shape them. You describe how you actually do the job, in plain language, and Keystone drafts the risk assessment and safe working practice around that description: the real products you use, the machinery you run and the place you run it in. Then you check it, change anything you want, and approve it. Nothing reaches your crew until you have, because the document going out under your name has to be one you are happy to stand behind. During onboarding we set up your templates, show you how the whole thing works and go through the first couple with you so you can see the shape of it. If you would rather we wrote the whole library out for you, that is a separate piece of work and we will quote for it.
What does the crew actually have to do?
Open the app, read the task once and sign it. After that, a point-of-work check before a job, and a permit if the work needs one. Most of it takes under a minute, and it works with no signal, so a dead spot in a shed or a tank is not an excuse for nothing being recorded.
Half our crew speak Portuguese.
The Site App runs in English or European Portuguese, and so do the documents they are asked to sign, not only the buttons around them. The English version stays the controlled document and the office register stays in English.
How many people does £199 cover?
Unlimited crew logins on the Site App, so every worker is covered, and 10 office logins for the people running it. If you need more than 10 in the office, tell us on the call.
Is this Jersey only?
No. Keystone is built in Jersey and cites Jersey law for Jersey firms, and it cites UK law for UK firms. You pick your jurisdiction when you set up and the documents follow it.
